Microsoft Word metadata is hidden data and extraneous information to the document's actual content, such as the authors of the document, deleted text, and drafting history. When these files are shared outside of the firm there is a high risk of unintentional disclosure of private information (metadata risk) that may be adverse to client representation or extremely embarrassing Author Information The User Name and User Initials control what ends up is diplayed in the others author properties of a Microsoft Word document. Document VariablesDocument variables are stored as part of a document or template, and they store information about the document and can only be accessed using Visual Basic or viewed using a metadata viewer. Print DateThe print date displays the last time this document was printed and does cannot be changed (unless you print it again). Random NumberMicrosoft Word tracks paragraphs and formats with a unique identifying number called the Random Number. This random number is needed for more accurate merging and comparison between documents. Track Changes Track Changes contain hidden data and information outside of the actual content, such as deleted text, revision authors, and system date information. When these files containing tracked changes are shared outside of the firm, there may be a high risk of unintentional disclosure of private information (metadata risk).
